Privacy Policy

Wanshi is an online board, document and meeting tool provided by Perhapxin Tech CO., LTD. ("we"). This policy explains what we store, which services process it, and how to have it deleted.

01Your account

  • When you sign in with Google we receive and store your Google account name, email address, profile picture URL and account ID. We only ask for the openid, email and profile permissions. We do not read your Gmail, contacts or other Google data.
  • To keep you signed in, your browser holds a random session value. We store only a hash of it, together with when it was created, your IP address and your browser user agent. Sessions end after 30 days without use or 90 days after sign-in.
  • Your interface language.

02What you create

  • Boards, docs, rectangle cards, comments, members and sharing settings.
  • Files you upload, such as images, stored in Cloudflare R2.
  • Deleting a board moves it to the trash, where it can be restored for 30 days. After that it is deleted for good, along with its docs, uploaded files, meeting minutes and recordings.

03Meetings

  • A meeting runs on one device (for example the meeting-room computer) and is started by the host. The meeting is recorded, with no live speech recognition; after it ends, the recording’s audio is sent to AssemblyAI (through Cloudflare Workers AI) to produce a transcript (with speaker labels, in the meeting languages the host chose); AssemblyAI reads the recording from a link that only works for that transcription and expires within two hours. The transcript (with speaker labels and times) is stored, and a copy is saved to Cloudflare R2.
  • The transcript is then sent to OpenAI to write the minutes and action items, which are stored in Wanshi.
  • Meeting recordings: every meeting records audio, because the transcript is made from the recording. When starting, the host can also record the screen of the Wanshi tab on the meeting device; if no screen is shared, only audio is recorded. It is recorded in the browser as WebM and uploaded to Cloudflare R2 in chunks, and a “Recording” badge is shown during the meeting. When storage is full nothing is recorded, so there is no transcript.
  • Only members of the board can play or download recordings, streamed by Wanshi after sign-in; there are no public links. Recordings use the host’s storage; the host and the board owner can delete them at any time. On the Free plan recordings are kept for 1 year, and we may delete those older than 1 year.
  • We never record other devices’ screens or audio, and there are no video calls; other members who open the board only see that a meeting is in progress.

04DotDotDuck (AI)

  • When you ask DotDotDuck something, by typing or by holding the mic, your question, the relevant board content and parts of the meeting transcript are sent to OpenAI’s gpt-6-luna model to produce the answer; for push-to-talk, supported browsers turn your voice into text with the browser’s built-in speech recognition (handled by the browser vendor, for example Google for Chrome); only in other browsers is the recording sent to the Whisper model on Cloudflare Workers AI. Requests may pass through Cloudflare AI Gateway.
  • For each AI request we record usage (model, token counts, cost) to charge points.
  • We do not use your content (boards, docs, transcripts, recordings) to train models, and there is no “free in exchange for data” plan.

05Points and subscriptions

  • A points ledger: each credit or charge, its reason (for example trial points, monthly points, purchases, AI usage or expiry), the related board or meeting, and the time.
  • Point batches: where each batch came from (trial, monthly subscription points, purchase), its size, what is left and when it expires.
  • Subscriptions: plan, status and when the current period ends. For now subscriptions are turned on manually by an administrator, with no online payment.
  • Once online payments open, Polar will process payments for subscriptions and points. Card and other payment details are handled by Polar; we do not store card numbers.

06Logs and security

  • Audit logs of actions such as sign-in, sharing and permission changes: time, account, target and IP address.
  • In-app notifications.
  • We do not use advertising trackers or third-party analytics.

07Services we use

  • Cloudflare: hosting, database (D1), file and recording storage (R2) and real-time collaboration (Durable Objects), background jobs (Workflows) and speech-to-text (Workers AI: AssemblyAI Universal-3.5 for meeting recordings, Whisper as the push-to-talk fallback).
  • Google: sign-in (including One Tap on the home and sign-in pages, which load Google’s sign-in script) and web fonts. Signing in with Google only asks for your basic profile (openid, email, profile).
  • OpenAI: DotDotDuck answers and meeting minutes.
  • Polar (once online payments open): payments for subscriptions and points.

08Cookies

  • A sign-in session cookie, a language cookie, and short-lived security cookies used during sign-in (they expire within 10 minutes). No advertising cookies.

09Retention and deletion

  • We keep your data while your account exists; running out of storage never deletes data, it only pauses new uploads and recordings; we may delete Free-plan meeting recordings older than 1 year; boards in the trash are deleted for good after 30 days.
  • There is no self-service account deletion yet. To delete your account and its data, get a copy of your data, or ask about privacy, email perhapxin@perhapxin.com.
  • Files you downloaded to your own device (transcripts, minutes, recordings, exported documents) are yours to manage and are not affected.

10Changes

  • When we change this policy we update the date at the top of this page.
